How to Transfer Documents to a New Location?

Documents linked in MKG are saved to a specific file directory. However, you may want to transfer your existing drive to a new one. This article provides the step-by-step plan you need to follow to accomplish this. We recommend reading through the entire plan before executing the steps.

Step 1: File Location

Make both the old file location and the new file location accessible and document these locations.

Note!
Execute step 2 and step 3 consecutively. It is possible that existing documents cannot be opened in the meantime.

Step 2: Copying

Copy all documents from the old to the new file location. You can do this in Windows Explorer. The process may take some time, depending on the number of documents.

Step 3: Document Directory

Open the Administration Settings module and set the new file location in the Document Directory field.

Administration Settings
General » Relations » Document Management

Note!
Follow step 4, step 5, and step 6 if you use shortcuts in your MKG document directory and the file location of these shortcuts changes. Skip these steps and go directly to step 7 if this does not apply to you.

Step 4: Adjust Shortcut

Open the Documents module in MKG and click on Refresh

. Then click on Adjust Shortcut
.

Step 5: File Paths

A pop-up will open. Enter the correct file paths here:

  • File Directory: Do not adjust this field. This is the document directory in MKG that is filled based on your administration settings. The field must always be filled.
  • Source Directory: This is the place where .lnk files are currently being written. Fill in this field only if the file location of the .lnk files changes. If the source directory of the .lnk files remains, you can skip steps 4, 5, and 6.
  • Target Directory: This is the location where you want the documents to refer to. Fill in this field.

Note!
Before you start step 5, it is important to first document well where the documents come from and where they are going.

Step 6: Document Transfer

If all data is entered correctly, click OK. Your documents will now be transferred. This may take some time, depending on the size of the documents.

Step 7: Remove Old Documents

Once your documents have been transferred, disable the old network drives one by one (or delete the MKG directory on these old drives). We recommend doing this the next day for certainty.
